Are you an experienced Fleet Assistant / Administrator?

Reed Specialist Recruitment have been enlisted to recruit an experienced fleet assistant to join our clients head quarters based in South Wales on a fixed term contract.

As a fleet assistant you will be resposible for ensuring the 140 fleet of vehicles are maintained, repaired and serviced in accordance with legislation to assist the workforce in delivering an effective and efficient service to their customers throughout Wales.

Working with a number of departments throughout the group, duties will include:


• Maintain vehicle maintenance contracts; monitor service provided to ensure compliance, quality and statutory legislation
• Schedule service inspections and MOTs in advance and communicate appropriately
• Day to day scheduling and planning of vehicle maintenance to ensure roadworthiness
• Administer weekly inspection process, making sure all forms are accurately completed and submitted
• Ensure any faults, defects or damage to vehicles are recorded and rectified in line with external contracts and internal policies and procedures
• Recording hire vehicles on the Motor Insurance Database
• Administer the fuel card system; provide reports to managers as and when requested
• Assist with the management, development, and implementation of the vehicle procurement and disposal programme
• Administer driving license checks ensuring all licences are valid and that drivers are legally entitled to drive fleet
• Administer ‘grey fleet’ driving license checks along with insurance policies and MOT certificates, ensuring all are valid and that drivers are legally entitled to drive for business purposes
• Assist in general office routine and responsibilities including mail, photocopying, filing and data entry
• Record all motor vehicle accidents/incident reports, inform and liaise with the Risk and Insurance Coordinator
• Raise requisitions on the purchasing system for vehicle repairs and services
• Liaise with and be main point of contact for fleet provider, maintenance provider and other providers
• Keeping accurate records, updating data with continuous changes to ensure accurate reports are produced in order to project spend
• Refer training requests
