My client is looking to appoint a Team Secretary in Exeter on a full time basis.
The purpose of this role is to provide comprehensive receptionist and secretarial support to contribute to
the smooth operation of the office in an effective and efficient manner.
Duties will include but not be limited to;
-Meet and greet all visitors to the office in a warm and friendly manner, offer refreshments.
-Answer incoming calls. Assess importance of each call and appropriate response, relay messages and assist with research/back up information as required.
-Coordinate planning of meetings and events.
-Type reports, minutes and documents.
-Draft correspondence on behalf of the Director(s)/Manager(s) as and when required.
-Sort, open, date stamp and distribute mail.
-Receive and collate staff expenses and fuel claims.
-Raise and process cheque requests.
-Take action points at meetings and distribute to attendees
-Organise couriers as and when requested.
-Set up and maintain Project files.
-Process monthly H&S returns.
-Display H&S bulletins and ‘Don’t Walk By’ posters to sites as and when required.
-Assist in ensuring a safe and tidy working environment of the office and kitchen areas.
-Organise and manage filling, both electronic and paper systems.
-Order and monitor stock of office stationery and kitchen supplies
Due to the nature of this role candidates with previous experience within a fast paced administrative/ secretarial role are desired. Experience of a high level of IT literacy is also desirable
