Secretary to Bursar (the Secretary) is appointed by the Bursar and has responsibility for the provision of secretarial and administrative support in those areas delineated in this Job Description.

The Secretary is accountable to the Bursar as duties undertaken dictate.

The Secretary/HR Administrator is authorized to:
• sign correspondence on behalf of the School in the execution of his/her duties
• act on behalf of the Bursar when she is absent from the School or unavailable and deal with and respond to such matters that may arise

Full Secretarial support to include, but not limited to:
• diary management
• in-box management
• general correspondence (both written and verbal)
• liaising with Governors, parents, other members of staff and other agencies
• production of ad hoc documents
• convening and minuting meetings when required
• assisting the Bursar with development of new projects
• support to weekly Support Staff Team meetings
• working alongside Health & Safety external provider regarding regulatory meetings
• assistance with events e.g. Speech Day, Open Day, New Parents’ Day and School Health & Wellbeing Day
• administration of termly Secretarial meeting
• preparation and distribution of termly Support Staff Newsletter
• working with the Transport Manager to ensure the in-house minibus service is efficient and effective; arranging and minuting termly driver meetings

Governing Body
Supporting the Bursar as Clerk to the Governors:
• the organisation and scheduling of Governors meetings in conjunction with MIST timetable
• preparation of board papers using Board IQ
• maintaining Governor records to include CV’s, training records in accordance with MIST requirements
• liaising with MIST in the recruitment, renewal and retirement of Governors

HR Administrator
Administrative assistance to the HR Manager with duties including but not limited to:
• preparing interview schedules
• placing adverts
• administration of new joiner paperwork
• administration of School Performance Management System
• recording of staff training
• close liaison with the Payroll Officer

Essential Criteria:
• Experience of working as a Secretary/Administrator in a similar role and environment.
• G-Suite experience.
• Excellent organisational skills.
• Self- motivated.
• Ability to work as part of a wider team and establish good working relationships at all levels.
• Ability to work on own and act on own initiative.
• Ability to contribute at team meetings.
• Proven ability to meet deadlines.
• Willingness to work flexibly.
• Works with a high degree of professionalism.

Hours of work: This is a full-time role working Monday to Friday 08.30-17.00. There may be occasions when the post holder will be required to work additional hours, which will include one Saturday and one evening per term.
