A Registrar is needed to report to the Director of Admissions and Marketing and is responsible for the smooth running of the admission process, from the initial enquiry through to registration and then conversion to enrolment. The Registrar needs to have an overview of the School and be able to respond quickly to enquiries. The Registrar is required to monitor enquiries, visits and conversations and give detailed reports to the Director of Admissions and Marketing and the Head Master.

Registrar will serve a pivotal role in managing the admissions process for each family from first contact to enrolment. This will involve organizing and hosting visits to the School and so it is important that the Registrar is able to identify with the needs of children and families who live either locally or further afield. Every visiting family must be made to feel welcome and be excited by the possibility of joining the School.

The Registrar will support the Director of Admissions and Marketing in the organization of promotional events, building relationships with feeder schools, maintenance of all relevant records and supporting data to evaluate marketing campaigns and initiatives.

The Registrar will be responsible for managing the Assistant Registrar and any Administrative Assistants.

Salary dependent upon qualifications, skills and prior experience.

CHILD PROTECTION RESPONSIBILITIES

The post-holder’s responsibility for promoting and safeguarding the welfare of children and young people for whom s/he is responsible, or with whom s/he comes into contact, will be to adhere to and ensure compliance with the School’s Child Protection Policy Statement at all times. If in the course of carrying out the duties of the post the post-holder becomes aware of any actual or potential risks to the safety or welfare of children in the School s/he must report any concerns to the School’s Child Protection Officer.

General responsibilities and duties

The Registrar:

• accompanies prospective families and visitors on tours of the School
• communicates effectively and positively with all stakeholders
• maintains close contact with enrolled and prospective families up to the start of School, and beyond in order to deliver high quality care
• to assist the Head Master and Director of Admissions and Marketing with all matters relating to student admissions at both the Senior and Junior School
• to maintain the admissions database, ensuring that enquiries are handled effectively and tracked right through to admission, including the production of up-to-date weekly status reports
• to plan and organize all visits by prospective parents, including staff liaison and all matters relating to student tours
• to be well informed about the School’s academic and extra-curricular offer and the working of the Junior and Senior School
• to print itineraries and maps for visiting families and prepare a visitor bag with the appropriate information
• to be responsible for all routine correspondence, including the drafting of letters to be sent by the Head Master.
