Our client in seeking an experience Receptionist / Admin Assistant for a front line position.

The Receptionist / Admin Assistant will be expected to have knowledge and understanding of the work of all the above and use his/her initiative in order to make the decision as to the best link to make.
Working as part of the Office Admin Team to provide efficient and effective management of the school’s reception and telephone switchboard duties.

Act as the first point of contact for all visitors and callers, responding to enquiries where possible or referring to the appropriate member of staff as required.
Ensure that the reception, waiting areas and displays are neat, tidy and clean.
Answer incoming calls, re-direct calls and take messages, using initiative to deal with any enquiries to avoid unnecessary messages being passed on.
Ensure visitors and staff sign in using the Visitor Entry System and record and file ID / DBS information accordingly.
Manage the Visitor Entry System ensuring staff / visitors / events are updated and ensure the Fire Evacuation Reporting set up is complete and up to date.
Set up staff manuals and entry fobs for new staff / visitors as applicable.
Provide typing/word processing skills for the production of letters/reports as required using Sims mail merge where appropriate.
To provide general office skills including photocopying, filing, receipt/distribution of post, daily outgoing post; also to receive and pass on messages accurately as required.
Set up meetings / room bookings as required ensuring resources and refreshments requested are set up and then cleared once finished.
Receive deliveries of stock, checking against delivery notes and informing intended recipients of any shortages and damages.
Maintain stocks of stationery and office supplies and assist with stocktaking procedure.
Maintain administration forms and ensure work rooms are fully stocked.
