Reception Office Admin

My client is a leading organisation based in Lisburn, who are currently seeking an experienced Receptionist/Office Administrator to join their team.

This is a temporary, full-time position. 

Hours of Work: Monday – Friday: 08.00 am – 17.00 pm

Hourly rate of £8.65 p/h

Job Purpose:

You will be providing full reception cover and administrative support to the team.

Essential Criteria:

  • Previous Reception and Administration experience – minimum of 1 year
  • Competent in the use of Microsoft Office
  • Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels
  • Ability to manage and prioritise a busy workload
  • Ability to work on your own initiative as well as part of a team

Main Duties and Responsibilities:

  • Answering and forwarding phone calls
  • Screening phone calls
  • Sorting and distributing post
  • Meeting and greeting clients/visitors
  • Ensure visitors are logged into Visitor Log
  • Tea/Coffee and refreshment provision for visitors
  • Booking meetings
  • Organise and prepare meeting rooms
  • Organise refreshments/lunches for meetings as required for staff or visitors
  • Office Stationary and general office supplies
  • Arranging deliveries
  • Keeping the reception area tidy
  • General front of house management
  • Typing and dictation
  • Photocopying and file preparation
  • Recording and filing company credit card expenses
  • Recording and filing company fuel card expenses
  • Delivery/Good Received Notes matching
  • Performing ad hoc administrative duties
  • Assisting colleagues with administrative tasks
  • Take Minutes of Meetings and distribute to all parties
  • Personal Assistant to Directors for expenses
  • Arranging travel and accommodation
  • Organise meetings and appointments
  • Project Assistance – Supporting Site teams/Directors as required
  • Typing and preparing reports/overseeing the management of databases and filing systems
  • Other duties to support Business Services Manager
