Job Description

A fantastic and rare opportunity has arisen with this well established family run organisation for a Receptionist

To deal with public relations, projecting and promoting our high standard of client and patient care with a kind and caring attitude.


Be conversant with all of these duties but specific tasks may be assigned to one member of the Reception Team to ensure continuity and organised management.

• Manage daily diaries of three premises
• Client Handouts and Stationery – must be checked at regular intervals and replenished when required.
• Vouchers – manage at Reception level the paperwork relating to food sales, and purchase Schemes before passing to Accounts Dept.
• Displays/Boards – must look professional and tidy and the information displayed should be regularly changed.
• Insurance Paperwork – completed claim forms handed in at Reception by clients should be held for safe keeping for the staff member responsible for Insurance
• Non arrivals for appointments – should be followed up by a telephone call within 1 hour of missed appointment.
• Banking – cash, cheques and credit cards should balance at the end of each day, correction of discrepancies are the responsibility of Reception staff.
• Stock Control – the stock levels and expiry dates of products displayed and sold from reception should be checked on a regular basis and supplies ordered when required. • Property Box – ensure all property is labelled, check the contents regularly and remove any property that has not been collected in the specified time.
• Dealing with Reps/ Visitors – must be treated courteously and given prompt attention and all queries dealt with or followed up appropriately/promptly.
• Start/End of Day – ensure entering and exiting protocols are followed with reference to the telephone system and alarm.
• Appointments should be managed sensibly especially weekends
• Be responsible for updating/managing clients details and gathering as much information as possible.

Person Specification

Hours of work will be 40 per week and will include working one Saturday in 6.

Four days per week 8.30-18.30, one day 08.30 - 12.30 and when working a weekend the hours will be Saturday 9-1 and Sunday 10-12.
