 Job Purpose
To undertake a range of project and programme activities in support of SIA’s change portfolio such that outcomes are delivered on time, within budget and to an acceptable standard of quality and to promote and develop change capability within the SIA.
Reporting Relationships

• Production of accurate and reliable project and programme information e.g. highlight reports, project initiation document, work package
• Create and maintain RAID (risks, assumptions, issues, dependencies) logs and other Project and Programme Management (PPM) documentation and assist with running workshops to identify, evaluate and treat risks and issues to ensure their on-going management. Ensure assumptions and dependencies are recorded and regularly reviewed
• project and programme governance, organising meetings, producing minutes and action points, following up on execution of action points
• Support financial and resource forecasting and monitoring
• Develop engagement and communications plans and execute to ensure awareness, buy-in and ownership. Support consultation meetings, forums and workshops with key stakeholders to ensure their interests are mapped and fully understood
• Deputise for project managers or portfolio office manager at checkpoint meetings, ensuring that all action points are captured and circulated
• Assist in ensuring that benefits are identified and tracked across the business as a result of change and that the business case is regularly reviewed and maintained
• Support the planning and preparation for assurance review processes
• Uphold PPM standards and procedures and participate in identifying and implementing opportunities for improving those standards and procedures
• Maintain the project and programme library and support colleagues in adhering to SIA standards including strict version control across SharePoint, shared drive and other similar tools
• Maintain the Corporate Information Team collateral on the intranet
• Undertake professional development and share that learning with colleagues to improve PPM and change management capability across the SIA

• Act as a workstream lead on an occasional basis, managing small, discrete pieces of work within a project or programme
• Act as a point of contact for project or portfolio enquiries from across the SIA

• Experience of working on projects, programmes or portfolios including management of risks and issues
• Strong interpersonal skills with experience of working collaboratively, developing and maintaining relationships
• Ability to work under own initiative and be creative in tackling challenges and finding solutions
• Demonstrate the ability to work in a high pressured environment to complete and deliver outputs with competing deadlines
• Excellent written and verbal communication skills
• Experience of undertaking secretariat duties (drawing up agenda, preparing and circulating papers, drafting minutes, follow up on action points)
• Ability to draw information from a wide range of sources and synthesise the information into a coherent output
• Proficient in Microsoft Project with applied experience in supporting, updating and creating project plan(s) and experience of project planning
• Proficient in the use of Sharepoint and Microsoft Word, PowerPoint, Visio, Excel
• An understanding of project management methodology such as PRINCE2
• PRINCE2 Foundation
