REED are proud to present a temporary position for a Personal Assistant with NYP at their new Northallerton HQ.
Pay Rate: 11.40 per hour
To provide a proactive and professional service to members of the Command Team in respect of their Portfolios. This includes: Force work and work within external agencies such as the Home Office, Her Majesty's Inspectorate of Constabulary (HMIC), ACPO, Local and County Councils.
Act as a link between the Command Team and other functions, staff and external partners to ensure matters are progressed and continuity on dealing with issues is maintained, critical information identified and problems solved or escalated to the appropriate level.
To undertake all confidential / non-confidential shorthand/typing/audio work and administrative/clerical functions required to support the Command Team.
To provide research in a proactive manner and to provide the Command Team with management information as appropriate.
To arrange meetings, conferences, seminars, etc., on a Force, Inter-Force, Regional and/or National basis and take / compile / circulate minutes / agendas / adjoining papers as required.
To arrange appointments, maintain diaries and make all necessary travel/accommodation arrangements for Command Team.
To receive and deal, as appropriate, with visitors wishing to see and/or visit members of the Command Team. Similarly, to receive and deal with telephone enquiries from members of the public as appropriate.
To be responsible for the upkeep and maintenance of Command Team members' private and confidential papers and filing system and to ensure that the movement of documentation in and out of the Secretariat is recorded.
To be responsible for the accurate recording of mileage and expense claims for Command Team members.
To assist in the organisation of functions (including luncheons and dinners) and visits by other officials and dignitaries, including arranging invitations, organising caterers and other associated matters.
To assist the Staff Office in ensuring that all correspondence addressed to members of the Command Team is scrutinised in order to ensure that only relevant and necessary correspondence is passed on.
Essential Skills, Experience and Qualifications
To be proficient in Microsoft Office applications, in particular: Excel Spreadsheets, PowerPoint, Word.
Experience of arranging organisational meetings/conferences; inviting other internal/external bodies and booking of all appropriate facilities.
Ability to ensure that clear and accurate notes of meetings are produced in an appropriate format and within specified timescales.
Experience of managing Senior Managers' diaries including arranging appointments/meetings and making appropriate travel, accommodation and catering arrangements.
Ability to develop and maintain positive working relationships, ensuring that colleagues are treated fairly, contributing to the development of equality of opportunity in working practices.
