A premier legal company based in York city centre are looking for a Formalities Assistant to work on their busy Patent team. With a background in Administration in professional services this is an exciting opportunity to learn a new profession, where full training will be provided, with future opportunity to progress to the role of Formalities Officer. The successful candidate should be looking for an opportunity to learn a new role and to progress in a challenging profession.

Main Responsibilities:

• Assisting the formalities team as required with basic administration tasks to help build knowledge on the more complicated matters associated with a Formalities Officer
• Report using standard letters for formalities
• Invoicing/billing
• Reporting and communicating with clients by email
• Learning to open new files on the electronic system
• Production of reports using Excel
• Completing standard forms
• Dealing with sensitive and confidential matters appropriately
• Continually track the current status of cases and maintain a due date diary system so deadlines are met efficiently and accurately
• Liaise with Formalities Officers and Patent Attorneys to ensure actions assigned are progressed within the required timescales

Person Specification:

The successful candidate should have experience in an administrative role in a professional environment. The ability to work to deadlines and prioritise workload is an essential part of this role. The ideal candidate must be able to demonstrate their accuracy and experience of using effective organisational skills in previous roles. The ideal candidate should be diligent, conscientious and precise in their approach to a task, as they will be working with non-extendable, and often tight, deadlines to ensure the client’s intellectual property is protected. Being a team player who willingly assists colleagues is key within this small but very busy and valued team. The successful candidate will have a keen interest in the subject matter to help develop their understanding of the implications of the work.

Candidate Essential Experience, Qualifications and Skills:

• Previous secretarial/administration experience in a professional services environment
• Strong ability to self manage, and prioritise workloads
• Effective team player in addition to being able to work effectively alone
• Excellent attention to detail and high standards of accuracy
• First-class communicator, both in writing and orally
• Flexible and proactive attitude to work, i.e. able to handle a variety of tasks without needing direction
• Proactive with independent problem solving capabilities
• Composed when working under pressure
• GCSE English and mathematics (grade C and above)
• Strong Microsoft Office skills (Outlook, Word, and Excel)

Candidate Desirable Experience/Qualifications:

• CIPA Certificate in Patent Administration
• Experience in legal services
