As part of a job-share arrangement with another part-time Receptionist and under the day-to-day supervision of the Head Receptionist, to provide a first class reception service to clients, visitors and guests, both on the phone, via e-mail and in person.
Key activities are likely to include:
a) Meet and greet clients, guests and visitors.
As a first point of contact for the firm, to ensure all clients, guests and visitors are greeted in a professional manner, catering for their individual needs where appropriate, ensuring they receive a first class service either in person or by phone/e-mail.
b) Continuous Improvement and Quality Assessment
This will include reporting problems and faults to the Head Receptionist and dealing with any issues of concern that could be regarded as routine. Also, contribute ideas, suggestions etc that would make a positive impact on the Reception service as a whole.
c) Meeting room administration and management (preparation).
To book and co-ordinate meeting rooms and to ensure that they are effectively utilised. This will include liaising with units to ensure all bookings are aligned with any catering requirements. To also ensure that meeting rooms and client waiting areas are prepared and maintained to the highest order. In conjunction with the Head Receptionist and the business support team, ensure a high standard of housekeeping and general maintenance of the client areas are achieved at all times. IT requirements should be accounted for and set-up correctly, prior to a meeting commencing.
d) Administrative support
Provide help and guidance to clients in respect of general enquiries e.g. travel to our office and to help with clerical duties such as faxing and photocopying as necessary.
Manage and operate the switchboard, passing callers to the relevant colleague as quickly and efficiently as possible.
f) Job Share
As this is a job share arrangement, ensure a smooth and seamless ‘hand-over’ with other members of the Reception team, as appropriate.
In addition, to provide additional support at times of planned absences of other colleagues of the Reception team.
Previous experience in a receptionist or similar front of house role, gained ideally from within
professional services or the hospitality sector;
Bright, enthusiastic and engaging personality, capable of interacting with people at all levels;
Smart, professional appearance;
Ability to maintain high level of customer service, demonstrating diplomacy where necessary and
coping well under pressure;
Efficient and effective communicator with strong inter-personal skills to work effectively with
colleagues at all levels.
Proactive abilities with a keen eye for detail;
Proven IT skills, in particular of Microsoft Office (Word, Excel, Outlook and PowerPoint etc);
An ability to work in a demanding environment;
An accurate and methodical approach to work, ensuring that processes, procedures etc are followed
A flexible and adaptable approach to work;
Strong commitment to client care and to providing a friendly and helpful service and able to create and
build a rapport with colleagues, clients and contacts;
A confidential and discreet manner;
Experience of working within a team environment and of supporting others.
