We are working in partnership with a Housing Association based in the Bury area who are looking to appoint an Executive Support PA to join their busy team on a long term temporary basis and it is possible this role may lead into something more permanent for the right candidate. This role will be supporting the Chief Executive and Senior Director and will form a crucial part of the executive support team.

The hourly rate of pay for this role is £12.98 per hour plus holiday pay and a range of Reed temporary employee benefits. The hours of work will be full time 37 hours per week and core hours are 9:00am - 5:00pm Monday to Thursday, and a 4pm finish on a Friday. There will also be a requirement to cover minute taking for Board and committee meetings and these take place early evening from 5 to 7.30-ish approximately 6 times per year.

Duties Include:

• Providing a comprehensive and confidential executive support and administrative service to the Executive Management Team, including CEO and Senior Director
• Providing a first point of contact for internal and external stakeholders and effectively managing enquiries.
• Effective internal and external meeting organisation including servicing of meetings, room bookings and equipment, and other arrangements including travel for external meetings, conferences and seminars.
• Effective facilitation and servicing of Board and Committee meetings including scheduling and planning of Annual General Meeting, Away Days and Tours. Timely co-ordination of agendas, papers and forward plans. Proof reading of reports to ensure quality and accuracy and production of timely and accurate minutes.
• Co-ordination of any papers and agendas required, production of accurate and timely minutes, tracking any follow up actions and updating of forward plans.
• Effective and efficient diary organisation and coordination to ensure optimum management of the Executive Team’s time.
• Effective record keeping and document management including updating records of key corporate documents such as policies, templates and strategies and monitoring when these are due to be reviewed.
• Administering expenses e.g. petty cash, mileage, invoice processing and other claims on behalf of the Executive Team and Chair of the Board in line with the Company’s Financial Regulations including updating of gifts and hospitalities, secondary employment etc.
• Proof reading documents, reports and letters to ensure quality and accuracy and referring inaccuracies and suggestions to the author. Offer support to Business Managers with preparing presentations, proof reading and formatting documents.
• Providing main point of contact for Board and Committee Members for help and advice including IT, queries on papers, travel arrangements and administer any claims for mileage and/or substance in line with the Company’s Financial Regulations.
• Any other administration and executive support duties, as required.

Person Spec:

• High level of IT literacy, with an excellent working knowledge of Microsoft Windows and Office packages including Word, Execl and PowerPoint.
• Experience of working as a Personal Assistant or similar, supporting Senior Managers and different stakeholders using high level of diplomacy and tact.
• A high level of professionalism and excellent communication skills, both written and verbal. The ability to be discreet and tactful.
• Effective written communication skills. Able to produce accurate and professional standard documents from meetings and type professional documents and letters.
