An exciting opportunity has arisen for our client based in Bradford for a temporary PA to the Executive Team. This temporary position is initially for a 3 month period but could be extended.

Job Purpose:

The successful candidate will work collaboratively as part of the Executive Administration Team and be expected to work without direct supervision, carrying out their duties in such a way as to make a direct and positive contribution to the Executive Team.

This role has a wide span of responsibility and will ensure that necessary systems are in place to provide a responsive and efficient administrative service. Undertake the full range of senior administrative duties including diary management, management of information, preparation of documentation and will support meetings (including minute taking), organising events and covering reception in the absence of the Support Secretary/Receptionist. The jobholder has responsibility for dispersing wide-ranging communications across the organisation and external agencies. It is essential that the successful candidate undertakes the extensive duties with flexibility, initiative and enthusiasm and operates as an integral part of the Executive Administrative Team.

This role supports the Executive Assistant to provide a high quality comprehensive personal assistance, at Board level, to the nominated Executive Directors.

Primary duties:
Planning and Organisation:
• Establishing and maintaining suitable ‘bring forward’ systems to ensure that future activities and requirements are not overlooked.
• Arrange meetings both internally and externally, booking rooms, organising refreshments as required. Organise and book travel and accommodation as required.
• Resolve conflicting appointments and reschedule meetings at short notice to meet changing requirements.

Support to Meetings:
• Take responsibility for meeting preparation both internally and with external partners. Draft agendas and formal minutes in liaison with the Executive Assistant, chasing documents/reports, and ensuring that appropriate equipment is available.
• Take and transcribe accurate minutes of formal meetings in a timely fashion, ensuring that all follow-up action is taken and action logs completed accordingly.
• Produce accurate and well-presented documentation, presentations, development of spread sheets etc., using Microsoft packages at an advanced level.

Team Working:
• Support the effective and efficient running of the Executive Administration Team as necessary to achieve full administrative cross cover. The jobholder will be required to work as part of a cohesive team ensuring cover in times of peak workload and assist other Executive Directors during the absence of team members i.e. for annual leave or during times of pressure.

Experience required:
• Minimum of 2 years previous senior secretarial experience.
• Extensive experience of servicing, taking and transcribing formal minutes of meetings.
• Experience of producing detailed written reports and presentations using Microsoft Word, Excel and PowerPoint.
• Work on own initiative whilst under pressure, including working to tight deadlines and prioritising work effectively. Professional telephone manner.

Qualifications:
• Educated to GCSE standard or equivalent.
• RSA III/OCR Typing/word Processing (or equivalent qualification) or skills commensurate with those expected at RSA III/OCR.
