Office Manager - Private Dental Clinic

An opportunity has become available for an Office/Practice manager to join a state of the art, family run private Dental Clinic based in the West End.

This role is to start immediately, therefore candidates must be immediately available or with 1 weeks' notice maximum.

Typical duties include:

-- Ensure the efficient day-to-day management of a large private dental practice
-- First line management responsibility for dental receptionists and dental nurses    including responsibility for motivation, objective setting and appraisal
-- Arrange for and undertake the recruitment and selection of permanent and temporary staff
-- Arrange staff induction and training
-- Organise disciplinary and grievance arrangements
-- Keep and monitor staff records particularly with regard to sickness absence and annual leave
-- Keep the practice’s contracts of employment up to date
-- Coordinate arrangements for staff appraisals
-- Work out and pay staff salaries using HMRC basic tools
-- Work out and pay associates pay using Practice Dent
-- Compile P60’s using HMRC basic tools
-- Take responsibility for and supervise all banking procedures, including deposits, payments and checking bank statements
-- Bank reconciliation for three limited companies using Sage 50
-- Petty cash
-- Ensure all three limited company accounts are up to date and ready for year end
-- BACS payments for staff, associates and suppliers
-- Ensure the operation of the patient payment policy and the collection of outstanding debts
-- Check supplier invoices and prepare payment cheque’s for signature and online banking
-- Ensure the operation of the patient recall system
-- Ensure the operation of the practice complaints procedure
-- Deal with patient queries which cannot be dealt with by other team members
-- Keep the practice leaflet and other patient communications up-to-date
-- Keep all practice documentation up-to-date, including policies, procedures and manuals
-- Ensure the maintenance of the practice computer system
-- Deal with practice mail, in conjunction with the practice partners
-- Liaise with sales and suppliers’ representatives as necessary
-- Ensure that there is efficient stock control and supply procedures
-- Ensure practice compliance with health and safety requirements
-- Manage risk assessments
-- Ensure that practice equipment is serviced and maintained
-- Ensure the practice complies with CQC regulations
-- Arrange and attend refresher and update training for medical emergencies and CPR


The ideal candidate will have a background/experience in the Dental industry and will have a basic understanding of Accounts. A Dental background is not essential but is desired, candidates should be analytical, friendly, approachable and have a keen eye for detail.
