REED Specialist Recruitment is offering a position as an Office Administrator on behalf of one of the leading technology companies in Malta. The candidates will get the opportunity to work in a creative and fun environment, and with international clients.

Key responsibilities:

• Overseeing all Administrative aspects
• Preparing correspondence and documents
• Organizing conference and meeting room bookings.
• Coordinating meetings (in Malta and abroad) and organizing catering
• Monitoring and maintaining office equipment
• Overseeing cleaning schedules and coordinate with suppliers
• Maintaining sick leave and leave records
• Using CV database of incoming job applicants and coordinating job interviews for new recruits
• Organising staff training sessions and activities
• Ensuring all staff are making use of work benefits offered to improve staff welfare
• Overseeing Occupational Health & Safety Act (OHSA) compliance requirements
• Handling domain renewals and other services related thereto
• Overseeing CSR activities
• Minute-taking
• Greeting clients, answering telephone, screen and direct calls
• Ensuring knowledge of staff movements in and out of organization
• Monitoring visitor access and maintaining security awareness
• Processing expense claims by staff, managers or directors
• Book Keeping, including insertion of incoming supplier and client invoices, managing payments and deposits
• Executing debt-collection
• Supporting financial auditors by extracting reports and other data


• Excellent IT & English Skills
• Minimum of a University/MCAST diploma
• Minimum 1 year of experience carrying out Administration specifically including book-keeping
• Demonstrate good communication and interpersonal skills
• Highly organised with exceptional attention to detail
• Able to work under pressure when needed
• Clean police conduct
• Use of car
