My client is a highly regarded Wealth Management Independent Financial Adviser firm based in Edinburgh, currently looking for an experienced IFA Administrator to join their successful team.


 To provide efficient administration support to the Financial Adviser and Office Manager
 Preparing new client packs
 Obtaining illustrations for clients
 Delivering research when requested
 Obtaining values for client reviews
 Processing and chasing of new business, both paper based and online
 Prepare and format suitability reports (templates)
 Scanning all relevant documentation to client file and updating back office system
 Issuing policy documentation
 Sending out Letters of Authority to life companies and chase up accordingly
 Process fund switches and rebalances
 Ensuring client files are compliant with FCA and Company guidelines
 Maintain back office system and ensure client data is accurate and up to date
 Maintain back office system diary management system and daily workload
 Preparation of correspondence including letters and emails
 Dealing with clients and providers over the telephone and email
 Welcome clients to the office
 Preparing refreshments for office and client meetings
 Answering the telephone
 General office duties


 At least two years relevant experience within a Financial Adviser environment
 Experienced using Microsoft Word, Excel, Outlook and Internet Explorer is essential
 Experience of Intelligent Office desirable but not essential
 Excellent interpersonal and communication skills
 Able to work to deadlines whilst managing and prioritising workload
 Must have a keen eye for detail
 Willing to learn and develop
 Able to work as part of a team or, if required, under own initiative
