My Client is seeking an experienced Facilities Assistant to start as soon as possible.


• To liaise with schools, contractors and suppliers on facilities matters for The Group 
• To maintain logs and generate reports


• Act as the first point of contact for telephone and email queries relating to facilities and equipment requirements
• Facilities management for schools, working closely with the GBM
• Source a range of building equipment supplies, obtain quotes and negotiate prices with suppliers
• Raise Purchase Orders and process invoices for authorisation
• Complete maintenance logs to produce job lists for contractors and data for management reports
• Participate in production of weekly Commercial flash reports
• Ensure that a full set of contract documentation is held in a central filing system at Central Services.
• Ensure all Health and Safety systems are adhered to and take a lead on ensuring all matters relating to Health and Safety are in place

Other Duties


Experience of working within a facilities department 

Experience of administrative tasks. 

Experience of assisting with small projects (e.g. office relocation, research and recommendation of purchase of services)

Experience of negotiating contracts

Experience of developing and maintaining record keeping systems

Skills & Abilities

Ability to work without daily supervision or oversight

Strong organisational skills with the ability to multi-task on a daily basis

Good time management skills and the ability to work to deadlines

Capable of building good working relationships with a wide variety of people

Ability to manage/manipulate data (input and presentation) electronic and paper based

Good customer care skills and ability to communicate clearly and helpfully

Excellent command of written and spoken English

Computer Skills

Intermediate skills in MS Word, Excel and PowerPoint

Experience of using email and undertaking web-based research

Fast, accurate typing 

The Pay rate for this role varies between £10 - £18 per hour depending on experience. This role involves visiting up to 5 sites during the week so having your own transport would be an added bonus however not essential.
