Your tasks will include:
• Collection & coordination of information and meeting specifications necessary for preparation of function sheets and event resume, with internal staff and 3rd party vendors.
• Creation of logistics grids (food and beverage, audio visual, transfers specifications)
• Research of venues and services vendors for future events; Obtain pricing estimates/quotes for future contracted services to assist with budget development.
• Ensure all services contracted are within budget; Provide a detailed payments plan to support the invoice processing.
• To liaise with speakers to collect documents and assist them on travel and accommodation
• Handle events invitations, including set up and management of e-mailings
• To assist with preparation and compiling edits of events materials (brochure, handouts, signage, information sheets for speakers and delegates) in conjunction with event owners
• To prepare, develop and upkeep of events calendar and meetings timeline and schedule at a glance documentation
• To keep abreast of industry trends and technology and make recommendations for integrating new technologies that will lead to greater efficiencies and delivery of services

You will have:
• 3+ years’ experience in events planning/execution
• A degree in a related field or equivalent
• Good track record of delivery an excellent service in events planning/execution
• Excellent organizational skills and strong attention to details
• Ability to manage multiple tasks simultaneously and shift priorities as needed to meet deadlines
• Excellent communication and negotiating skills
• Proficient in Microsoft Office applications, including PowerPoint and Excel
