My client based in Marden is looking for an ‘Events Assistant”.

SALARY: £17,000-£20,000

HOURS OF WORK: 37 hours per week
Monday to Thursday 9 am – 5 pm (less 30 minute lunch break)
Friday 9 am – 4.30 pm (less 30 minute lunch break)

Attendance at fundraising events, which may include weekend work. Time off in lieu for additional hours worked.

ANNUAL LEAVE: 25 working days in a full leave year 01st January to 31st December, excluding Bank Holidays


The Events Assistant will be responsible to the Head of Events Management and will support the research and administration necessary to develop and deliver the growing events programme, ensuring event participants have memorable, engaging experiences with the Charity.

The post holder must have the ability to help organise a wide range of events, varying in size and purpose. They must be able to meet varying event requirements, according to set deadlines and communicate with a range of clientele.

The post holder should be a highly enthusiastic and motivated individual with the ability to work well as part of a team. They should have the ability to build strong relationships with other members of the team as well as suppliers and external event organisers.


Administration Support

• To enter all participant data onto the Charity’s database in a timely and accurate fashion.
• To ensure that event resources are booked in and out of the warehouse.
• Complete all administration for pre-event meetings at the Charity’s headquarters including clear invitation and communication with participants, informing on-duty medical crew and ordering catering if necessary.
• Answering telephone calls identifying the callers needs and effectively communicating information.
• To liaise with Charity staff, as and when required, to determine event requirements.
• Assist in planning, co-ordinating, marketing and delivering events calendar from the event proposal through to event day.
• To conduct post event evaluation.
• To work with colleagues to ensure correct entry or participant payments for each event.

Participant Relationship

• To ensure a smooth registration process of all participants or colleagues who undertake an event with the Charity.
• To nurture event participants, as and when required, through face to face conversations, telephone calls, email, letter or social media interaction.
• To welcome and engage with participants at pre-event meetings and event days.
• Provide excellent fundraising support, ensuring each supporter has the appropriate documents and materials to help maximise their fundraising.

Event Delivery

• Prepare and courier resources to venues, ensuring timely delivery and pick up.
• Provide excellent customer service and support to all participants for the duration.
• Work flexibly with colleagues to ensure that all tasks are undertaken a high standard
• Liaise with colleagues, volunteers and event staff to ensure that all requirements and support are in place.
• To be willing to work out of hours or weekends as and when required. Time off in lieu will be given to additional hours worked.

• Conduct research tasks into future events my client may wish to be involved in, as and when directed to by the Head of Events Management.
• To research potential documents, resources or items that may help support participants with events.
