We are currently recruiting for an experienced equine administrator/secretary with strong equestrian knowledge as well as extensive administration. experience. 

My client prides themselves on their immaculate reputation and looking for someone who is able to think on their feet - someone intelligent and cheerful, as well as articulate and computer literate.  Every day you will have set administrative tasks but something new always crops up and so expect variety and expect to meet and work with a range of stakeholders.

Key Responsibilities

• Diary management for the Partners and Assistants.
• Booking and coordinating appointments 
• Ensure that all incoming calls are answered from Partners, Assistants, clients and referrals. Assess the urgency of a call-out and to act accordingly
• Responding to all incoming communications from clients, referrals etc, escalating to a Partner/Assistant where necessary.
• Processing client payments and chasing-up non-payment of accounts.
• Ensure that all paperwork is completed e.g. consent forms, admission forms and information sheets for Clients.
• Ensure that all written formal documentation is scanned and stored correctly to ensure it is easily accessible when required.
• Preparing Reports for Partners and Assistants via audio or written documents.
• Managing insurance claims to include completion of forms, ensuring that all required information is provided, chase-up Insurers regarding payments and respond to any queries.
• Export paperwork completed and pre-export tests arranged.
• Equine Passports arranged as and when required.
• Produce all paperwork prior to and following a pre-purchase examination for Clients.
• Produce paperwork for make-up/type markings and foal DNAs.
• Keeping track of vaccination requirements and sending reminders to clients when necessary.
• Arrange and provide all required paperwork, lab samples and x-rays for horse sales.
• Keep the Equine website and Facebook up to date and relevant.
• Ensure that the Partner and Assistant vehicles are correctly maintained e.g. MOT, Service and repairs.
• Ad-hoc requirements requested by the Partners and Assistants to assist in their day-to-day activities.




It is essential that you have experience with horses, fantastic communication skills and you are able to flourish in a busy working environment.
