Effectively manage the work schedule, workload and brought forward system in consultation with the relevant senior manager and regularly inform them of appointments, committee actions and deadlines

Manage and co-ordinate the diaries and arrange appointments and meetings, ensuring the efficient use of the senior manager’s time

Manage mail/electronic mail:

respond to items on own initiative where appropriate
delegate items for response to other team members
prioritise items for urgent action
initiate and progress investigations into inquiries;
monitor and chase action where necessary
prepare responses for Assistant Director’s signature

Ensure an exemplary customer focussed reception to the Director and Assistant Directors personal and telephone callers, screen incoming telephone calls and where appropriate solving problems and queries without reference to the Director and Assistant Directors

Organise meetings and events, taking responsibility for venue, minutes and background papers and any follow up actions

Support to the Director and DMT

Support Departmental Management Teams and wider departmental management teams, arranging management team meetings, organising papers, note taking and follow up of actions 

Support the Director and DMT in effective management of operational, strategic  corporate and statutory requirements related to business and service planning, performance management, business continuity planning, risk management and health and safety and other areas related to the operations of the department

Support the Director and DMT on departmental change initiatives

Support projects or work as part of a project team on service change and improvement initiatives

Research Support to the Director and DMT

Effectively manage the research and analysis requirements of the Director and DMT

Compile reports, briefing documents and information for the Director and DMT related to national and local initiatives/developments that affect the departments services

Assist with the research and preparation of committee papers, liaising with Committee Services to ensure all deadlines are adhered to

Compile reports, briefing documents and information for Members as requested

Knowledge & Experience
Proven track record of providing PA support to a senior manager in a comparable organisation, which will include organising and managing an office, diary management, progress chasing work plans and schedules, and preparing papers and daily activity sheets
A high level of expertise in the operation of standard office information and communication technology applications, including e-mail, spreadsheet and presentation software
Experience of producing complex reports or information to tight deadlines
Well-developed interpersonal and written communication skills, including the ability to communicate with a wide range of senior staff and Members, and to produce clear and concise briefing papers and meeting agendas and minutes
Evidence of success in building and forming working relationships and working flexibly across professional and operational boundaries


Skills & Abilities
Highly skilled in use of office packages, including word processing, spreadsheet and presentation software
Skills in drafting correspondence, minutes and notes of meetings and briefing notes
Ability to work on own initiative, be a self starter, proactive and respond accurately to tight deadlines, and to prioritise between conflicting demands
