Purpose Statement:
This role is responsible for delivering first class administration support to the business with the role holder ensuring that they are customer focused, flexible with regards to requirements and task orientated at all times.
Provide an on the ground,  high standard of business support to a wide range of business areas within Circle, following appropriate policies and procedures determined by the operational teams
Prepare and quality review key strategic documents such as MI, Board and departmental reports
Communicate and liaise sensitively but authoritatively with people from a number of levels, both internally and externally as required championing the values and reputation of Circle
Devise and maintain detailed business support systems ensuring that information is readily available for operational teams
Provide receptionist support, meeting and greeting guests, handling messages and calls, monitor visitor access and maintain security awareness
Manage the logistics for large meetings and corporate events: book venues, summon meetings, organise catering, prepare agendas, collate and distribute papers, record attendance and assist with presentation of documents
Take a proactive approach to all duties undertaken ensuring that any concerns raised from internal or external sources are satisfactorily resolved as quickly and efficiently as possible
Work effectively as a team member, share information and contribute to the development of the service
Perform any other duties as may be reasonably requested by your line manager.
Minimum GCSE grade C or equivalent in English Language and Maths
Experience of providing administration or receptionist support
A demonstrable commitment to achieving customer service excellence
Good interpersonal and communication skills
Microsoft Office intermediate level proficiency in Microsoft Office including: PowerPoint, Excel, Word and database management
Experience of effective organisation in a complex environment
Experience of diary and time management
Ability to prioritise a high workload with competing demands
Good trouble-shooting/problem solving skills
Ability to be proactive and take the initiative
