You will be part of a team who focus on supporting the Safeguarding Service, management team and lead administrator in a range of administration duties. You will have the opportunity to support the people of Southend by working closely with other professionals to ensure that DOLs referrals and assessments process is effectively managed and tracked. Due to the nature of the work there is a real focus on effectively prioritising work load in a team that can be dealing with information that is pressured and demanding. In exchange you will get a real understanding of referrals and everything the role encompasses through effective training.
It is important that the team work together, support each other, raise any concerns but also that you are happy to work on your own initiate and are confident in your attention to detail when recording keeping, you will have access to the Care First system to ensure all client records and accurate and up to date and to ensure that information is tracked efficiently.
This particular role means you will a point of contact for internal staff (such as BIA’s) to ensure a smooth process but also external stake holders, whether this be family members, care homes, hospitals, doctors etc. The team are therefore seeking someone who is confident in being the initial point of contact for these various stakeholders as well as dealing with their query efficiently. This may include arranging further appointments/assessments, escalation where required, following up in writing through preparing letters or other written communications. Other ad hoc duties may be included such as processing invoices but training on the system will be given.
It is desirable that you have working experience and knowledge with adults and older people in a social care environment due to understanding the demands of the job. Naturally you will be dealing with sensitive data so experience in a similar environment is advantageous. Experience of data protection is essential for the role due to the information that the team process alongside having had phone experience with potentially difficult situations as strong written and verbal communication are key. Training on CareFirst will be given but having qualifications in either IT courses or business administration would be beneficial for this job. There is a strong focus on the use of Microsoft programmes such as Excel as that is utilised in this role so proven experience of this would be useful. The team are seeking someone who can take minutes efficiently and effectively.
