Urgent requirement for an experienced Administrator to join a leading company based in Holywood.
Temporary position initially for 4 months with potential to go Permanent.
Mon-Friday 8.45am – 4.45pm
£7.78/hour
Immediate Start

Job Duties:
• Deal with incoming telephone calls/written correspondence regarding repairs/defects and be point of contact for tenants reporting defects and repairs.
• To provide call desk support within the maintenance team.
• Ensure letters are responded to within five days.
• Ensure enquiries at reception are dealt with promptly.
• To register and respond to complaints in accordance with the policy.
• Process tenant satisfaction paperwork as required.
• Record cost of all repairs/invoices against works orders.
• Produce monthly KPI information as required by the Maintenance Manager.
• To assist the managers with the typing of letters and documents and scheme visit reports as required.
• To provide administration and reception cover for the Maintenance team as required.
• Ensure all records are maintained in accordance with quality system requirements, data protection legislation and that confidentiality of records is maintained at all times.
• Ensure filing and electronic filing is actioned and kept up-to-date at all times.
• Attend meetings as directed by the Maintenance Manager and take minutes as appropriate and organise hospitality for these meetings.
• Assist where required with the administration requirements for Committee and Board papers.
• Ensure the smooth running of the Maintenance Department providing cover and assistance for Officers and other staff where appropriate.
• Ensure there is an adequate supply of standard forms for the Maintenance team.
• Advise relevant staff of properties where there are significantly high repairs/defects.
• Prepare works orders variations in accordance with the Association’s procedures.
• Raise and process tenant responsibility letters as required.

Essential Criteria
• The ability to work as part of a busy team
• Good telephone and communication skills
• 2 years office experience dealing with the public and providing administration support in an office environment
• Ability to effectively manage a busy workload and meet deadlines
• 5 GCSE’s including English and Mathematics at grade C or above or equivalent
• Excellent organisational and administration skills

Desirable Criteria
• ECDL or equivalent
