Provide administrative support to the MD; be their eyes and ears

• Office management
• Coordinate office activities and operations to secure efficiency and compliance to company policies
• Supervise administrative staff and divide responsibilities to ensure performance
• Create and update records and databases with personnel, financial and other data
• Staff oversight
• Make day to day decisions
• Communicate and deal with queries
• Monitor the main communication channels of the business
• Carry out regular book-keeping activities; Invoicing & Payroll
• Generally take responsibility
• Provide a professional ‘point of first contact’
• Ensure the customer and supplier queries are routed and assigned to the most appropriate person
• Facilitate the smooth running of the office from an administrative and H&S perspective
• Order and manage inventories and supplies
• Send out enquiries such as references and other communications
• Write and distribute company newsletter
• Attend to walk-in candidates
• Manage diaries and appointments
• Collate KPIs and reports from staff and send to MD
• Manage holiday calendar
• Ensure general hygiene and ambience of office is maintained
• Management of office equipment
• Booking meetings, sorting and distributing post
• Assist colleagues where necessary

This is a permanent position- the candidate at a minimum is required to have the following skill sets:

• Advanced level IT skills covering Excel, Word, Access, Database, Publisher, Power point, Newsletter, Social Media etc
• Excellent oral and written communication skills
• Proficient in use of office equipment
• Experienced office administrator
• Experienced in filing and database management
• Excellent analytical and numerical skills
• A good problem solver
• Organised with attention to detail
• A focused worker that is able to multi and wouldn’t get distracted
• A team player that is flexible and adaptable
• To be willing to commit to work long term with the organisation.
• Preferably someone within reasonable distance to Bromley.
