The Oxford City Council are looking for an Administrative assistant to join the Council’s Law and Governance Service to provide a diverse range of administrative and secretarial support across the Service and in particular to the Legal Team.

Location – Oxford City Centre
Start date – 09/10/2017
End date – 22/12/2017 currently
Pay rate - £12.85 per hour

Main Duties & Responsibilities
To provide administrative and secretarial support to the Council’s Law and Governance Service

Specific Duties and Responsibilities:
1. To provide administrative and secretarial support to all members of the Law and Governance Service and in particular the Legal Team and to coordinate, with the other support assistants, the work of the Support Team to ensure that it is effectively and efficiently completed.
2. To provide personal assistant support to members of the Law and Governance Management Team
3. To work actively with and to motivate and develop all members of the Support Team to optimise their skills, contributions and outputs and encourage a customer focused approach to service delivery.
4. To ensure that the Support Team has and maintains effective and proper work systems and processes.
5. To undertake day to day updating of the electoral register, processing of postal votes and administration of elections under the professional supervision of the Principal Electoral Services Officer and to deal with any consequential enquiries from members of the public.
6. To maintain and ensure the efficient and effective operation the Service’s central filing systems
7. To undertake financial administration and contribute to compiling accurate financial and other management data
8. To efficiently and effectively operate the Legal Services quality system and time recording and case management system
9. To provide advice and guidance on the day to day use of ICT by Law and Governance
10. To undertake any other duties appropriate to the grade of the post
